Approval Queue

Requests wait here for admin review before they update the live schedule when the approval workflow is enabled.

AI Intake

Use the shared AI parser for pasted requests or saved inbound emails. Every interpreted change still goes through approval before it touches the live schedule.

This uses your server-side AI provider key, defaults cleanly to Gemini for proof-of-concept use, and always sends parsed requests into the approval queue for human review.

Email Settings

Set the inbound mailbox, outbound sender defaults, and separate practice vs hospital notification templates.

Inbound Request Email

Use one email per line for assistants, office managers, or outside senders who should be allowed to submit requests. The practice key gives you a future multi-practice default naming pattern, but every address here stays editable.

Outbound Sender (Resend)

The Resend API key should live in Cloudflare environment variables, not here in the browser settings.

Calendar Feed

Control the shared ICS subscription feed used by Apple Calendar, Google Calendar, and Outlook.

This prototype uses separate passwords for normal user access and admin access.

Apple Calendar

Best on iPhone, iPad, and Mac. Usually opens the Apple subscribe prompt right away.

If the button fails
  1. Copy the feed URL from the manual setup section at the bottom.
  2. On iPhone or iPad, open Calendar, tap Calendars, tap Add Calendar, then tap Add Subscription Calendar.
  3. On Mac, open Calendar, choose File, then New Calendar Subscription.
  4. Paste the feed URL and finish the subscribe prompt.

Google Calendar

Best on Android and desktop. Opens Google Calendar with the feed already filled in.

Google Calendar subscriptions usually need to be confirmed in the browser before they appear in the app.

If the button fails
  1. Copy the feed URL from the manual setup section at the bottom.
  2. On a computer, open Google Calendar in a web browser and sign in.
  3. Next to Other calendars, choose Add other calendars, then From URL.
  4. Paste the feed URL and click Add calendar.

Outlook

Desktop browser setup only. Add it in Outlook on the web, then let it sync down.

If Outlook asks for a web subscription, the button above takes you straight to that confirmation screen.

If the button fails
  1. Copy the feed URL from the manual setup section at the bottom.
  2. On a desktop browser, sign in to Outlook on the web.
  3. Open Calendar, choose Add calendar, then Subscribe from web.
  4. Paste the feed URL and select Import.

Google and Outlook subscriptions can take 12-24 hours to refresh. For real-time changes, check the app directly.
